Salary: £19,695 per annum, pro rata Contract type: Permanent Working pattern: Part-Time, 28 hours per week

About the Role

We are looking to recruit a Station Administrator based at Hove Fire Station to provide a full range of administrative support to the Station Manager on a daily basis to ensure the efficient, effective and professional running of Hove Fire Station.

Your duties and responsibilities will include:

- Being able to provide a high quality administrative support service, using MS Office software and other provided systems to members of the Station Team;

- Acting as a point of liaison the Station Manager, Station personnel, the wider ESFRS community and external agencies/partnerships in dealing with enquiries and general business;

- Assisting in the management of diaries for the Station Manager and Station, both manual and computerised in order to arrange/accept meetings, appointments and/or interviews etc.

- Facilitating note taking, preparation and circulation of minutes promptly to ensure action points are recorded and resolved in an efficient and auditable manner;

- Inputting data onto the Fire Safety Management System (CRM), including the creation of new files, linking of incidents and relevant documentation/correspondence.

- Supporting the delivery of Community Fire Safety activities within the Borough;

- Responsible for the Station P&P purchase card and reconciliation reports;

- To monitor and maintain a stock of consumables/equipment and order necessary items via the Service’s Indent process or direct ordering as necessary;

- To administer key target areas such as AFA incidents, generate standard letters at pre-determined stages and advise the Station/Watch Managers of actions required. Liaise with Business Safety regarding any persistent offenders.

The successful candidate should be educated to GCSE level or equivalent, have a sound working knowledge of Microsoft Office applications including Word, Excel and Outlook and have the ability to prioritise and manage variable workloads. Applicants must have experience of working in an office environment providing administrative support to a range of personnel, possess excellent communication skills and be able to work with minimal supervision.

Additional Information

Your starting salary will be pro rata if the above position is part-time or term-time only.
